Use it every day
Open My list and choose Add customer, or use the blank row at the bottom. Click a cell to edit it and press Save. Add a column for anything extra. Your customer list and notes are saved privately. For the email-entry beta, return in the same browser to reopen it. Your email alone cannot recover a list; export a backup before clearing browser data.
Record a service
Choose Record service beside the customer, enter the date and notes, and choose whether to set the next service to the same month next year. The completed service is kept in their history.
Import a spreadsheet
Upload Excel or CSV and match the name, postcode and month columns. Review the rows before saving. Imports add to your list. If a name and postcode match, you can skip, update or add a separate customer. An update replaces notes in matching columns and keeps other notes. Use separate rows for different properties.
QuickBooks and Xero exports
Export a detailed invoice or transaction report as Excel or CSV. Include customer name, address or postcode, invoice/job date and job description. An invoice number and status help with review. Export options vary; a contact list or invoice summary without descriptions will not identify service jobs.
Choose Invoice export when importing. We scan the description for boiler-service wording and flag likely completed work. This is a wording check, not proof that a service was completed. Check the original invoice and the date. Quotes, cancellations, credits, uncompleted work and future dates are excluded. Other jobs are not selected automatically. Matching service rows for the same named customer and address are grouped, with the latest service date proposed and earlier entries kept in history. Only rows you approve become saved service customers.
The proposed next due date is the same month one year after the supplied date. An invoice date can differ from the actual service date. Older work can produce an overdue date; we do not silently move it into the future. Missing postcodes stay in your list for you to fill in before mapping.
Map your round
Switch to Service map, choose your month and open a pin. HP9-style areas work, but show approximate area centres. Full postcodes also show centres, not exact addresses. Retry missing pins if a lookup fails. Route optimisation and customer reminders are not included.
Saved lists and backups
Export my list downloads all saved customers and notes as CSV. You can still view, export and delete records after your seven-day beta ends. Editing and adding customers require active access.
